    Who you are

    In this role, you will support the Facility Management team. In your toolkit, you bring:
    • Excellent organisational skills and the ability to manage multiple tasks simultaneously, making you an asset to any team. You thrive in dynamic environments and excel at problem-solving, ensuring smooth day-to-day operations in facility management.
    • A proactive and detail-oriented approach, with a passion for maintaining and improving facility functionality.
    • Preferred knowledge of facility management and building services within retail and warehousing operations or a strong interest in learning about the industry.
    • An open and clear communicator who enjoys working independently, with accuracy and reliability.
    • A service-minded, solution-oriented mindset and a true team player who performs well in fast-paced environments.
    • Confidence using Microsoft Office, CAFM systems, and a willingness to learn new digital tools.
    • Preferred knowledge of building maintenance, safety regulations, and compliance standards.
    • A commitment to continuous improvement and professional development.

    About this work area

    As a committed and curious Administrator, your responsibilities will include, but are not limited to:
    • Providing administrative support across IKEA Sylvia Park and the External Warehouse within Real Estate, working collaboratively with the team to optimise business performance and identify effective solutions.
    • Providing a full range of administrative services to achieve operational goals and objectives by organising, co-ordinating and supervising the functional processes.
    • Managing critical documentation and executing administrative activities to ensure compliance with relevant local and international legislation, regulations, agreements, and internal policies and procedures.
    • Collaborating with internal and external stakeholders, including suppliers, to coordinate responses to general facilities management enquiries.
    • Supporting the Facility Management team by administering office-related activities, including (but not limited to) safety processes, timekeeping, and scheduling.
    • Contributing to a workplace where IKEA’s Culture & Values are actively lived and embraced, fostering inclusion across co-workers, contractors, and customers.

    What you need to know

    • This role is full-time, temporary 12-month contract
    • Working Monday - Friday, 9:00am - 5:00pm
    • The internal role title is Unit Facility Management Administrator
    • The work location for this role will be across IKEA Sylvia Park & IKEA's External Warehouse based in Māngere.
    • IKEA is a non-smoking workplace.
