    In this role, you will manage databases and documentation flows efficiently. We believe you have relevant education and/or work experience in administration and are proficient in advanced MS Office tools.
    To succeed in this role, you should be a native Italian speaker or have at least a C2 level of proficiency in Italian, along with strong written and spoken English skills.
    In this role you will report to Sales & Leasing Administration Team Leader.
    What you'll be doing day to day
    As a Lease Administration Specialist, your primary mission is to ensure a smooth and high-quality administrative process within sales and leasing by ensuring full compliance with relevant standards and procedures. Also, you will:

    • Ensure the efficient and timely preparation, signing, and administration of sales and lease contracts, as well as other relevant documents, in strict compliance with applicable standards and procedures.
    • Own and manage the protocol of disagreement process, coordinating with other relevant stakeholders.
    • Provide support to sales & leasing teams and Meeting Places throughout the sales & leasing administration process.
    • Work closely with the Sales & Leasing Administration Team Leader to analyze and improve process efficiency, minimize gaps, and proactively provide relevant input to the Sales & Leasing Administration Team Leader.
    • Ensure timely updates of relevant databases to maintain accurate and up-to-date data and records.
    • Ensure that all required documentation is properly stored, organized, and readily available upon request.
    • Collaborate with key stakeholders in Meeting Places, Domains, centres of expertise, and other relevant functions to gather necessary information for reports, meetings, or presentations related to lease administration.
    • Prepare well-structured and professional lease administration materials, presentations, and documentation requested by Domain colleagues, ensuring clarity and accuracy in all reporting and communication.

    As a Lease Administration Specialist at Ingka Centres you will be a part of the Operations Function. The purpose of the Operations function is to optimize the Meeting Place experience for the many people and deliver sustainable business growth for our Partners and Meeting Places. It is also to achieve operational results, drive efficiency improvements and enhance commercial performance and brand value of the Meeting Places.
